# HubSpot for Construction: CRM Setup for Contractors

![Mason Phillips, founder of Your HubSpot Expert](https://www.yourhubspotexpert.com/hs-fs/hubfs/yhe-v3/mason-avatar.jpg?width=88&height=88&name=mason-avatar.jpg)Mason PhillipsOct 28, 2026, 3:30:02 PM

HubSpot works well as a construction CRM for the front half of the job: leads, bids, follow-up, and repeat work from owners and general contractors. It is not a project management tool like Procore or Buildertrend, and it should not try to be one. The setup that works uses HubSpot to win the work, then hands the job to the system that builds it.

Below is how I would set up HubSpot for a contractor, what it costs you in HubSpot editions, where it falls short, and how it connects to the construction software you already run.

## What does HubSpot do for a construction company?

HubSpot is a CRM. For a construction company, that means one place to track every person and company you bid for, every opportunity you are chasing, and every conversation about it. Owners, general contractors, architects, property managers, and subs all live in the same database, linked to each other.

The practical wins are simple:

- Every bid has an owner, a due date, and a stage, so nothing slips because an estimator was out.
- Calls, emails, and notes sit on the record, so the next person can pick it up without asking.
- You can see your bid pipeline and win rate by project type, trade, or lead source.
- Past customers and GCs get followed up on, which is where repeat work comes from.

HubSpot's own [construction CRM page](https://www.hubspot.com/crm-for-construction) leans on the same point: field and office teams working from one record instead of spreadsheets and shared inboxes.

## Is HubSpot a good CRM for general contractors?

Yes, if your problem is sales and follow-up. HubSpot is a good CRM for general contractors and specialty contractors who bid a steady flow of work, have more than one person touching an opportunity, and lose track of who said what. It is also a good fit if you run marketing, like a website, forms, and email, and want to see which sources turn into signed work.

It is a weaker fit if what you really need is scheduling, RFIs, submittals, change orders, or job costing. Those are project management jobs. HubSpot can hold a summary of them. It should not run them.

## How would I set up HubSpot for a contractor?

This is the setup I would build for a typical contractor. Every feature below is a standard HubSpot feature, and I note the edition where it matters.

### Records: who goes where

- Contacts: every person. Owners, project managers at GCs, architects, estimators, property managers.
- Companies: every firm. GCs, developers, owners, architecture firms, subs.
- Deals: every bid or opportunity. One deal per project you are pricing.
- Projects: work after the contract is signed. More on this below.

### Pipelines and deal stages

I keep the deal pipeline about winning work and nothing else. A bid pipeline for a commercial contractor might look like this:

- Invitation or lead received
- Go or no-go decision
- Site visit or plan review
- Estimating
- Bid submitted
- Negotiation or scope review
- Won
- Lost

If residential and commercial work move through different steps, I build two pipelines. If the steps are the same, I use one pipeline and a property to split them in reports.

Edition matters here. Per HubSpot's [pipeline documentation](https://knowledge.hubspot.com/object-settings/set-up-and-customize-pipelines), free tools get the default pipeline and no custom pipelines. Starter allows 15 custom pipelines. Professional allows 100 on seat-based pricing and 350 on Flexible Seats and Credits pricing. That limit is shared across all objects, not per object.

### Properties that matter in construction

Default HubSpot fields were not built for bids. These are the custom properties I would add to deals:

- Project type (new build, remodel, tenant finish, service)
- Sector (commercial, residential, municipal, industrial)
- Bid due date
- Project address and city
- Estimated start date
- Bid source (plan room, repeat GC, referral, website)
- Lost reason (price, schedule, scope, no decision)

HubSpot's conditional stage properties let me require a field when a deal moves to a stage. For example, a bid due date before a deal enters Estimating, and a lost reason before it can be marked Lost. If a property is required, users cannot save the record until they fill it in. That one setting does more for clean reporting than any dashboard. My [custom properties guide](https://www.yourhubspotexpert.com/blogs/hubspot-custom-properties-guide) covers how I name and group them.

### Quotes and estimates

Most contractors build estimates in estimating software or spreadsheets, and that is fine. I store the bid amount on the deal and attach the estimate file.

If you want quotes sent from HubSpot, check your edition first. HubSpot's [quotes documentation](https://knowledge.hubspot.com/quotes/create-and-send-quotes) says the current quotes tool needs a Revenue Hub Professional or Enterprise subscription and a Revenue Hub seat. Accounts that had Sales Hub before September 3, 2025 can keep using legacy quotes.

### Automation

Two levels of automation are worth knowing:

- Pipeline automations are available on Sales Hub and Service Hub Starter and up, per HubSpot's [pipeline automation article](https://knowledge.hubspot.com/object-settings/set-up-pipeline-automations-for-objects). When a deal enters a stage, HubSpot can create a task, send an internal email, or update a property.
- Workflows need a Professional or Enterprise subscription. They handle anything with timing or logic.

The automations I would start with:

- Deal enters Estimating: create a task for the estimator due three days before the bid due date.
- Deal marked Won: notify operations and create the project record.
- Deal marked Lost on price: create a check-in task for six months later, because the next job with that GC is still open.

My [pipeline automation playbook](https://www.yourhubspotexpert.com/blogs/hubspot-pipeline-automation-the-complete-setup-playbook) goes deeper on stage triggers.

### The mobile app for estimators and PMs

The [HubSpot mobile app](https://www.hubspot.com/products/mobile) is free on iOS and Android. From the job site, a user can look up a contact, update a deal stage, log a call, and work their tasks. One limit to plan around: HubSpot's [mobile records article](https://knowledge.hubspot.com/records/work-with-records-in-the-hubspot-mobile-app) says records cannot be created, edited, or viewed without an internet or data connection.

### Projects after the contract is signed

The most common mistake I see is adding stages like "In progress" and "Punch list" to the sales pipeline. It wrecks your win rate and your forecast. Deals are for winning work. Delivery goes somewhere else.

HubSpot's [projects object](https://knowledge.hubspot.com/records/understand-and-use-projects-object) is built for this. A Super Admin activates it, then you get project pipelines, tasks, and a gantt view, all linked to the original deal and contacts. If your project data lives in Procore or Buildertrend, I keep only a light project record in HubSpot, enough for the sales team to see status. Custom objects are another option, but HubSpot requires an Enterprise subscription for them.

## How does HubSpot compare to Buildertrend and Procore?

They do different jobs. Here is how I think about it.

| Tool | What it is built for | Where HubSpot fits |
| --- | --- | --- |
| HubSpot | CRM: leads, bids, follow-up, marketing, and reporting on where work comes from | Owns the customer and the bid |
| Buildertrend | Construction project management for builders and remodelers | HubSpot wins the job, Buildertrend runs it |
| Procore | Construction project management that connects field and office teams on active builds | HubSpot tracks the pursuit, Procore runs the project |

If you only bid a handful of large projects a year and your pursuits run on relationships, Procore or Buildertrend plus a good spreadsheet may be enough. HubSpot earns its place when bid volume, marketing, or the number of people touching a deal makes the spreadsheet break.

## When is HubSpot not the right fit for a construction company?

I would tell you not to buy HubSpot in these cases:

- You want one system for estimating, scheduling, and job costing. HubSpot does none of those well.
- Nobody on your team will own the CRM. Any CRM without an owner goes stale in a few months.
- Your project management tool already has a sales module your team uses and likes. Adding HubSpot just to have HubSpot creates double entry.
- You need offline access on job sites with no signal. The mobile app needs a connection.

## Can HubSpot integrate with Buildertrend or Procore?

Yes, with different levels of effort.

Buildertrend lists a [HubSpot integration](https://buildertrend.com/integration/hubspot/) on its own site. It works with all Buildertrend plans and with free and paid HubSpot. Per Buildertrend, the sync is one way, from HubSpot into Buildertrend, and you can send contacts over based on contact status or deal stage. That fits the model I like: sell in HubSpot, build in Buildertrend.

Procore connects through Zapier, which has a [Procore and HubSpot connector](https://zapier.com/apps/procore/integrations/hubspot). For a few triggers, like creating a Procore project when a deal is won, that is enough. When you need project status, contract value, and change orders flowing back into HubSpot, I build a custom integration with the HubSpot API. My [custom integrations page](https://www.yourhubspotexpert.com/services/hubspot-integrations) covers how I approach those builds.

Whatever the tool, I decide which system owns each field before I connect anything. Two systems both editing the same field is how bad data starts.

## Frequently asked questions

### Is HubSpot free for construction companies?

HubSpot has free tools, and they cover contacts, companies, deals, and the default pipeline. Custom pipelines start at Starter, pipeline automations start at Sales Hub or Service Hub Starter, and workflows need Professional. Check HubSpot's pricing page for current costs before you buy.

### What is the best CRM for general contractors?

The best CRM for general contractors is the one your estimators and PMs will update. If your pain is bid tracking, follow-up, and marketing, HubSpot is a strong choice. If your pain is running jobs, start with a project management tool and add a CRM later.

### Can HubSpot track construction projects after the sale?

Yes, with the projects object, which includes pipelines, tasks, and a gantt view. I keep projects separate from deals so your sales numbers stay clean. Heavy project management still belongs in Procore or Buildertrend.

### Does HubSpot work for subcontractors and specialty trades?

Yes. The structure is the same: GCs as companies, their PMs and estimators as contacts, and each bid as a deal. Specialty contractors often get the most value from tracking which GCs invite them to bid and how often they win.

### How long does it take to set up HubSpot for a contractor?

The timeline comes from the scope: how many pipelines, how much data to move, and which integrations. I review your setup and data first, then give you a written scope with a timeline and one price.

## Want HubSpot set up for how you bid?

I set up HubSpot for companies as a fixed-scope [HubSpot implementation](https://www.yourhubspotexpert.com/services/hubspot-implementation): I review your process and data, write the scope, and give you one price before work starts. If you already have HubSpot and the pipeline is a mess, my [sales operations](https://www.yourhubspotexpert.com/services/hubspot-sales-operations) work fixes the stages, routing, and required fields.
