Marketing operations

HubSpot marketing operations that sales trusts

I set up and run the HubSpot machinery behind your marketing: forms, lifecycle stages, scoring, campaigns and lists. Leads arrive clean, in the right stage, with a handoff your sales team accepts.

The problems I fix

Where marketing operations usually breaks

Most marketing teams are good at making leads. The trouble starts when HubSpot cannot say where a lead came from or whether it is ready for sales.

01

Lead source is a guess

Forms, ads and imports each write source differently, so you cannot tell which channel earns pipeline.

02

Lifecycle stages mean different things

Marketing calls a contact an MQL, sales calls it junk, and nobody wrote down the rule.

03

The database slowly decays

Duplicates, stale lists and unused properties pile up until segmentation and email results stop being reliable.

What I do

What I do for marketing operations

01

Forms and lead capture

Forms, fields and source properties set up the same way everywhere, so every lead is tracked from first touch.

02

Lifecycle stages and lead status

Written definitions and the automation that moves records between stages, with the handoff rule sales agreed to.

03

Lead scoring and MQL rules

Scoring built on the behavior and fit that match your sales feedback, with a clear MQL threshold. Scoring tools depend on your HubSpot plan, and I check what your portal includes.

04

Email, campaigns and lists

Campaign structure, naming, active and static lists, subscription types and email setup that keep sends compliant and easy to report on.

05

Segmentation and database hygiene

Duplicates merged, properties cleaned and standard values set, with rules that stop the mess from coming back.

How it works

03

FAQ

Questions I get asked

What does HubSpot marketing operations include?

It covers the setup behind your marketing: forms and lead capture, lifecycle stages and lead status, lead scoring and MQL rules, email, campaigns and lists, database hygiene and marketing reporting. I do not run campaigns or ads. Your team or agency keeps the creative, and I make sure it is tracked. Some features, such as lead scoring, depend on your HubSpot plan, and I check what your portal includes.

How much does marketing operations work cost?

A defined project gets a written scope and one price before I start, and ongoing work runs on a monthly retainer. Maintain is $1,250 a month for up to 10 hours, Improve is $3,750 for up to 30 hours, and Own is $6,250 for up to 50 hours. The retainer page lists what each plan covers.

How long does it take?

I give you a timeline after I review your portal, because it depends on what the review finds. I look at your forms, properties, lifecycle stages, lists and workflows, then give you a ranked list of fixes. The timeline follows that list and the scope you approve.

Who does the work?

I do. I'm Mason Phillips, a HubSpot Gold Solutions Partner, and I work in your portal myself. The person on the intro call is the person making the changes, with no handoff to a junior team. Every change comes with a plain-language note on what I did and why.

What happens to our existing contacts and data?

You keep them, and I clean them up. Duplicates get merged, properties cleaned and standard values set, with rules that stop the mess from coming back. I test changes before they touch live records. If your lead source tracking is broken, I fix the forms and integrations that write it, and older records can be corrected where the data allows.
