HubSpot QuickBooks Integration for Contractors

HubSpot's QuickBooks Online integration syncs HubSpot contacts with QuickBooks customers, plus products, invoices, and credit memos, and it is available on every HubSpot plan. For a contractor or service company, the setup that works keeps QuickBooks as the book of record for money and HubSpot as the record for leads, bids, and customers. The native app does not connect to QuickBooks Desktop, so Desktop shops need a third-party connector.

Below is what the integration actually moves, where it breaks, and how I would set it up for a construction, trades, or home service company that already lives in QuickBooks.

What does the HubSpot QuickBooks integration sync?

According to HubSpot's QuickBooks Online knowledge base article (last updated July 21, 2026), the data sync covers four object pairs. You pick the sync direction for each one.

HubSpot QuickBooks Online What it means for a contractor
Contact Customer Your billing contact at each customer or GC shows up on both sides.
Product Products & Services Your service items and price book live in one place. HubSpot matches them by SKU.
Invoice Invoice Sales can see what was billed and what was paid without asking the office.
Credit memo Credit memo Credits and adjustments stay aligned, one-way or both ways.

Payment information shows on associated deal records in HubSpot. Timing matters too: HubSpot says changes from HubSpot reach QuickBooks within a few minutes, and changes from QuickBooks reach HubSpot every 30 minutes. There is a Sync now button when you need it faster.

What it does not do: invoices synced from QuickBooks Online are not automatically associated with a HubSpot deal, per HubSpot's invoice sync article. If you want to see revenue by job or by bid, you have to plan for that association.

Does HubSpot work with QuickBooks Desktop?

Not natively. HubSpot's own integration and its documentation cover QuickBooks Online only. If you run QuickBooks Desktop, Premier, or Enterprise, this is the first thing to check.

For Desktop, you need a third-party connector. Two examples:

I am not endorsing either one. Ask each vendor what it writes to Desktop, how often it syncs, and what happens when a record fails. If you are planning a move to QuickBooks Online anyway, do that first and connect HubSpot after.

Which HubSpot plan do you need for QuickBooks?

The QuickBooks Online app itself is available on all HubSpot plans, including free. A few pieces need more, based on HubSpot's knowledge base articles linked above and its invoices article (last updated October 28, 2026):

  • Custom field mappings, like a PO number or job number on an invoice, need Data Hub Starter, Professional, or Enterprise.
  • Automated sales tax needs Revenue Hub Professional or Enterprise and at least one assigned Revenue Hub seat.
  • HubSpot payments needs a Starter, Professional, or Enterprise subscription. Stripe processing is available on all subscriptions.
  • Quotes need a Revenue Hub subscription and a Revenue Hub seat.

HubSpot packaging changes often, so check the current pricing page before you buy anything for this.

How should a contractor set up HubSpot and QuickBooks?

This is the order I work in. The goal is that sales and the office stop retyping the same customer twice, and nobody edits money in the wrong system.

1. Decide which system owns what

QuickBooks owns invoices, payments, taxes, and your chart of accounts. HubSpot owns leads, bids, follow-up, and the sales pipeline. Write that down before you connect anything. Two systems editing the same field is how bad data starts.

2. Clean up customers and products first

HubSpot recommends syncing all QuickBooks customers into HubSpot as contacts, and syncing products from QuickBooks to HubSpot. Product sync matches on SKU, and by default only products with SKUs sync. So add SKUs to the QuickBooks items you want in HubSpot, and merge duplicate customers before the first sync. My guide to HubSpot duplicate contacts covers the HubSpot side.

3. Pick one billing contact per customer

This one catches commercial contractors. When a customer syncs from HubSpot to QuickBooks, the Display Name is set to the associated company name, and Display Names must be unique in QuickBooks. The first contact at a GC syncs fine. The next PM from that GC fails. HubSpot's advice is to use one billing contact per company for invoices and payments, and you can still send the invoice to as many people as you want.

4. Start with invoices flowing one way

HubSpot's recommended default is a one-way invoice sync from QuickBooks Online to HubSpot, starting from the day you connect. For most trades companies, that is the right first step. The office keeps invoicing in QuickBooks, and sales gets visibility in HubSpot. Move to two-way only when you have a reason to create invoices in HubSpot.

5. Connect the invoice to the job

Since QuickBooks invoices do not attach to HubSpot deals on their own, decide how you will tie billing back to the job. That could be a job number property, a workflow, or a custom build. This is where the HubSpot for construction bid pipeline and the QuickBooks data finally meet.

Should invoices start in HubSpot or QuickBooks?

Question Invoice in QuickBooks Invoice in HubSpot
Who sends invoices today? The office or bookkeeper Sales or the service manager
Do you charge sales tax by line or by location? Handled in QuickBooks Harder: tax is turned off on HubSpot invoices while the QuickBooks app is installed
Do you edit invoices after they go out? Edit freely Line items, pricing, and tax must be edited in HubSpot or the sync fails
Do customers pay several invoices with one check? Fine Payments applied to more than one invoice do not sync to HubSpot
Do you add card fees? Fine Card fees do not sync to QuickBooks invoices

If the office sends invoices today, start with QuickBooks as the invoice source. Every limitation in that table comes from HubSpot's QuickBooks and invoices articles.

What breaks the HubSpot QuickBooks sync?

Use this as a checklist before you turn it on. Each item comes from HubSpot's documentation:

  • Editing a HubSpot-created invoice in QuickBooks. You cannot add or remove line items, change pricing, remove a payment, or add tax there.
  • Editing QuickBooks payment records that came from HubSpot. The HubSpot invoice can show unpaid with no error.
  • One payment applied to several invoices. It will not sync to HubSpot.
  • Old payments. Only payments created after you connect the app sync.
  • Credit card fees turned on in HubSpot payment settings. They do not sync, so turn them off or plan to reconcile by hand.
  • The Custom transaction number setting in QuickBooks. HubSpot recommends turning it off to avoid conflicting invoice numbers.
  • Open accounting periods. HubSpot recommends locking closed periods in QuickBooks.
  • Refunds. They do not sync automatically.

HubSpot also recommends that you check with your accounting team before you connect it. I agree. Bring your bookkeeper into the setup call.

When is the native app not enough?

The native app covers customers, products, invoices, and credit memos. It does not know what a job, a change order, or a retainage balance is. If you need those, you have three paths:

  • A no-code tool for a few simple triggers. My HubSpot Zapier integration guide covers when that is enough.
  • A Marketplace connector built for your accounting setup, especially on QuickBooks Desktop.
  • A custom HubSpot integration built on the HubSpot API when the data model does not fit any connector.

If QuickBooks is one of several tools you run, like ServiceTitan, Jobber, or Housecall Pro for dispatch, read my home service CRM guide first. Decide which system the customer starts in before you connect accounting.

Frequently asked questions

Is the HubSpot QuickBooks integration free?

The QuickBooks Online app is available on all HubSpot plans. Custom field mappings need Data Hub Starter or higher, and automated sales tax needs Revenue Hub Professional or Enterprise. You still pay for QuickBooks itself.

Does HubSpot integrate with QuickBooks Desktop?

Not natively. HubSpot's integration covers QuickBooks Online only. For Desktop, Premier, or Enterprise, you need a third-party connector from the HubSpot Marketplace or a custom build.

How often does HubSpot sync with QuickBooks?

HubSpot detects changes from HubSpot to QuickBooks within a few minutes, and changes from QuickBooks to HubSpot every 30 minutes. You can click Sync now to run it on demand.

Can I see QuickBooks invoices on a HubSpot deal?

Payment information shows on associated deals, but invoices synced from QuickBooks Online are not automatically associated with a deal. You need a job number, a workflow, or a custom build to tie them together.

Why are some of my contacts failing to sync to QuickBooks?

The most common cause is Display Name. QuickBooks needs a unique Display Name, and HubSpot sets it to the company name. The second contact from the same company fails. Use one billing contact per customer.

Can I add PO numbers or job numbers to synced invoices?

Yes, with custom field mappings in Data Hub Starter, Professional, or Enterprise. The field must be set up correctly in QuickBooks Online first, and only the first three custom invoice fields in QuickBooks are visible to HubSpot.

How long does it take to set up HubSpot and QuickBooks?

The timeline comes from the scope: how clean your customer and product lists are, which direction invoices flow, and whether you need custom fields or a custom build. I review your setup first, then give you a fixed scope with a timeline and one price.

Want HubSpot and QuickBooks to agree?

I set this up as part of a fixed-scope HubSpot implementation, or as a standalone integration project if you already run HubSpot. I review your HubSpot portal and your QuickBooks setup, write the scope, and give you one price before work starts. Small fixes to an existing sync can be done as ad hoc work at $150/hr. I work remotely across the U.S., including with companies in Oklahoma and Arkansas. Book a 30-minute call and I will look at how your sales and billing connect today and tell you what I would fix first.
